Managing user roles on your MySheerID account

MySheerID gives User Admins granular control over what their team members can see and do through Roles. Roles define which actions a user can take, such as viewing, creating, editing, or deleting items.

Users need to be invited to join your company account. Make sure the user has accepted the invitation and set their personal MySheerID login password. If the user is currently logged in, they'll need to log out and log back in for role changes to take effect.

To edit a user's role:

  1. Log in to MySheerID
  2. Click the company name menu in the bottom left corner of the page
  3. Click Team

  4. Find the user for which you would like to edit access by scanning through the list or using the search box at the top of the page

  5. Click Manage Roles on the overflow menu to open the dialog box

User role types

On your Team page, users are categorized into three primary role types:

  • Account Owner: The original creator of the SheerID account for your organization
    • At creation, this user is automatically assigned the following roles:
      • User Admin
      • Program Admin
      • Reporter
      • Reward Admin
      • Customer Service
      • Customer Service Specialist
      • Customer PII
    • Only one user is allowed to be designated as the Account Owner in an account
    • Reassigning the Account Owner role requires help from the SheerID Product Support team
  • Admin: Admins can invite team members, adjust roles, and change permissions
  • User: Any user who is not an account owner and does not have the User Admin role will appear as a User. New team members are created with the default roles:
    • Program Admin
    • Reporter
    • Reward Admin

Role logic for consumer PII

Access to Personally Identifiable Information (PII) depends on how you retrieve data from MySheerID:

  • Individual records: Viewing a single consumer record in the Customer Search tool requires one of the Customer Service roles. Viewing single records through the REST API endpoint requires the Reporter role.
  • Bulk downloads: Downloading bulk verification reports with PII from the Reporting Center requires both the Reporter and Person Data roles.

Complete account access and full admin functionality. By design, account owners have access to do some things in MySheerID that cannot be granted only through roles Assigned to the original account creator. Transferring this designation requires assistance from SheerID Product Support

Reports

Customer Service

Customers that provide their own customer service can use our dedicated special roles. To set up the user appropriately, select a base role, either Customer Service or Customer Service Limited Access, then apply the supplemental roles as needed.

NOTE: To configure roles for Client applications, the user must hold the User Admin role in addition to API Access 

Offboarding team members

Your organization is responsible for disabling access when team members leave. Deactivate departed users immediately to maintain account security. You can find steps to add users here.

Managing your account roles
